We act as a Data Controller for Landlords, and as a Data Processor for the Tenant data that Landlords input into our system. We collect:

  • Landlord Data: Name, email address, encrypted master signatures, and billing information (processed securely via Stripe).
  • Tenant Data: Names, email addresses, phone numbers, and signed Assured Shorthold Tenancy (AST) agreements.
  • Vaulted Documents: Files uploaded to the Secure Document Vault (e.g., EPCs, Gas Safety Certificates, passports, and Right to Rent share codes).
  • Communication Logs: SMS and WhatsApp messages routed through our proxy numbers to facilitate secure communication between landlords and tenants.

2. How We Use Your Data

Your data is exclusively used to provide the Proxy Landlord service. Specifically, we use it to:

  • Route SMS and messaging communications via our secure proxy lines without exposing personal phone numbers.
  • Dynamically generate and distribute legally binding tenancy agreements.
  • Securely store and track the expiration dates of compliance documents.
  • Process subscription billing and facilitate tenant rent payouts.

3. Third-Party Data Processors

We do not sell or rent your personal data to third parties. We share data only with essential infrastructure partners who comply with strict data protection standards:

  • Twilio: To process and route SMS messages and generate virtual proxy numbers.
  • Stripe: To securely process landlord subscription payments and tenant rent payouts. (We do not store your raw credit card numbers on our servers).

4. Data Security & Retention

We employ industry-standard security measures, including SSL encryption and secure database architecture, to protect your data. Documents uploaded to the Secure Vault and signed contracts are retained only for as long as your account remains active or as required by UK property and tax law (generally 6 years). Voided contracts and deleted documents are permanently removed from our active servers.

Under the UK GDPR, you possess the right to:

  • Request access to the personal data we hold about you.
  • Request correction of inaccurate or incomplete data.
  • Request the deletion of your data (the "right to be forgotten"), subject to legal retention requirements.
